Exchange between congregations where one is using Multi-Terr version 4

If one of the congregations uses Multi-Terr version 4, then the exchange of addresses is done by emailing Excel files

Pre-requisites

The congregation contact information must exist. The congregation information may be entered one of the following methods

• From the Validation window, you may click on the Update button for the line There may be new congregation boundaries available
• From the Languages window, you may click on the Find Congregation button beside the langage

• If the congregation has not shared their contact information, you may manually add the congregation and their contact information

Note: If you have more than one congregation of the same language that share your boundaries, you will need enter the foreign language congregation boundaries, so that the system may determine which congregation an address belongs to.

Sending the file

There are multiple methods to email the Excel file, choose the one that is most convenient:

• From the Validation window, you may click on the Send button for the line There are new addresses ready to be sent. The Details button will list all the congregations for which there are addresses, you may send them one at the time, or all at once
• From the Congregations window, select the congregation and click on the Export button. Unchecking the box with the date, will send all addresses that belong to that congregation
• From the Import/Export tab, select the Export Allbutton. It is the same function as the Validation window
• From the Import/Export tab, select the Export By Congregationbutton and select the congregation from the dropdown list. It is the same function as the Congregations window
